What file formats do you accept?

During the onboarding phase, we work together to export an accounts receivable report from your software. This report normally contains the accounts you have marked delinquent which are ready to be written off to our agency. Getting this format right is important to ensure smooth processing and maximum results. Changes to this report after we agree on the data and format stops the process for reevaluation.
Data

Your report must be able to generate the minimal data we need to start the process.
- Responsible Party Demographics - Name, Address, Phone(s), Social Security Number (Optional), Date of Birth
- Service Data - Current Balance, Service or Contract Date, Delinquency Date
Depending on your line of business, this report may also contain other information that will be helpful to our process. Let us take a look and see what you've got!
Format

We are flexibly inflexible. Let us explain.
We accept this information in various formats including:
- Excel (.xlsx or .csv)
- Comma, Pipe, or Tab Delimited Text File (.txt)
This is as broad and flexible as it gets. Most any software can create these sorts of files.
Where we are inflexible is regarding the data in the file. Once we agree upon the data inside the file, the order and format of that data cannot change. For instance, if we agree upon our basic data (as mentioned above) but suddenly you add an extra column of data such as an email, this addition breaks the process because it changes the file.
The most important thing to note is any change to the data within the file must go through another official data identification process. Keeping things the same is extremely helpful. The more "hands-off" you are when generating your accounts receivable report, the better. Manual changes to data, renaming column headers, adding or removing information prompts us to stop the process and reevaluate the data.
In the event you experience a software upgrade or need to add additional information, we can certainly accomplish this request. However, we must go through an official data identification process at that point. Change management? No problemo!

- Find the Placements tab at the top of your client portal.
- Click the Continue button. You will be taken to a form to enter your accounts.
- Once you've entered your account, choose Submit. Shazam! You're done.
